Covid-19 Updates

Updates on Camp and Coronavirus

In our effort to communicate thoroughly, we recognize the value of having all of our information in one place. We will keep this page current with new information, communication, and updates.

We recognize that we are in a fluid, evolving situation. We are following the directions of the CDC, the Tennessee Department of Public Health, and other state/local officials. We are also speaking regularly with the American Camp Association among others, and consulting our trusted advisors and Medical Professionals. At Camp Arrowwood, our medical care is led by Dr. Lindsey Harrell and Dr. David Harrell. The Harrells love camp, support camp, and have your camper’s health interest in mind with all policies and procedures.

5/18 Update

We have move currently registered campers for their mini-camp sessions. If you were signed up for Session 1 of our traditional program, we have already moved you to mini-camp Session 1. The price of mini-camp is $315. When you log on to CampBrain right now, you will see an incorrect total. We are working with CampBrain over the next couple of weeks to get your total correct. Please don’t make any payments until June 2 or until we let you know.

If you would like to attempt to switch sessions or need to make a cancellation request, please fill out the form below and we will do our best to make it happen over the next few weeks.

You only need to fill out the form below if you wish to change your session or cancel

FAQ
We are a little unsure of our plans. When is the lastest we can cancel?
We want to serve and care for you well. We are in a holding pattern just like you. You are not making any kind of commitment to be at camp by staying registered. We are simply holding your spot. You can back out of camp even until July 1 with a full refund option.
When do I need to pay?
Please don’t pay until we have clarity on what we will be allowed to offer this summer.
How much is mini-camp?
I’m thinking about changing the name to Turbo-Camp or a more catchy name, but it’s $315.
What if I was on the waitlist for Camp 2020?
As soon as we make all of the session adjustments to our registered campers, we will reach out to you to fill any empty spots. That will most likely be in early June 5th.

If you have friends who would like to register for any potential open spots, we will open any available spots on June 5th.

Session Dates:
Session 1 June 14 – June 19 –> S1 July 6-8
Session 2 June 21 – June 26 –> S2 July 9-11

5/4 Update

Please watch the update video and then read below:

We aren’t giving up on your kids or camp. Our current plan is to operate six separate 3-day/2-night sessions during the last 3 weeks of July, which would normally be sessions 4, 5, and 6 of camp.  This would ensure that all of our currently registered campers have the opportunity for an overnight camp experience.  Our mini-camp sessions are subject to approval under Federal and TN guidelines that are scheduled to be released May 15th.

Important Dates for Parents

  • May 4th – Camp Arrowwood sent an update to both addresses of your CampBrain account.

What can we expect from the 3-day camp?
We are working hard on providing the best programming for your kids. You can expect 3 days of our greatest camp activities alongside our wonderful staff.

Are you sure mini-camp is going to happen?

No, we aren’t sure at all.  Proverbs 16:9 reminds us that “A person’s heart plans his way, but the LORD determines his steps.”     We will have more clarity when the CDC and ACA announce their guidelines for summer camps on May 15th. After the CDC releases its guidelines, the state of TN and our insurance company should release their guidelines as well.

If overnight camp isn’t permitted by the authorities, even in July, our next scenario is to offer One Day Camp Experiences where we pack everything kids love and expect from camp, complete with S’mores and Campfire from 9 am – 9 pm.

Do I need to register? What do I need to do now?
For now, hang tight. We are working on sending you a form in the next few days once we get CampBrain set-up. We will automatically register you for your rescheduled session. If you were signed up for Session 1, we will move you to mini-camp Session 1. If you need to make a change or cancel, please complete the form to be emailed on May 7th by May 15th.

What about money?

Please wait for more clarity until June 1 if possible. We will have full refund and cancellation options as well. We will also be able to refund your extra balance depending on what camp programs are offered.

We know the coronavirus has and will continue to have a wide-reaching social, emotional, and economic toll on families, businesses, and nonprofits. The financial implications of closing camp are serious, as we have incurred – and will continue to incur – many costs, regardless of what happens this summer.   Rest assured that full refunds will be available should you decide to withdraw from camp or all of our programs are canceled.

Cancellation / Refund Options:

  1. You can receive a full refund of your paid tuition.
  2. You can choose to convert some or all of your paid tuition into a donation to help minimize our losses at Camp Arrowwood or to Wears Valley Ranch Children’s Home which is currently operating and serving children at full capacity.

Thank you for allowing us to serve you. We are praying for you all!

Mr Seth

4/29 Update – Gov. Bill Lee issued new Executive Order No. 30  listing Overnight Summer Camps as “prohibited.” This order expires May 29. We are still hoping to make a camp announcement on Monday, May 4th. (WATE News Link

4/15 Update – Due to Governor Lee’s April 30th of the “Stay-at-Home” order, we will wait for his next announcement and make a decision on Monday, May 4th.

Are we going to have camp this Summer?
As of today, 4/15/2020, all six sessions are still scheduled. Our goal is still to hold camp this summer, even if it requires a few tweaks or adjustments. We believe that having camp will be more important than ever this year, as it may provide campers an important break from any stress and anxiety caused by the disruption of normal schedules at home. We are praying for the Lord’s kindness and for Camp Arrowwood to run as scheduled.

When will you decide if we are having camp or not?
We thought we would have more clarity at the beginning of April, but now we are hoping to make a decision by April 30. May 4th

What do families signed up for Summer 2020 need to be doing now?
For now please complete your medical forms online and continue to pray for camp and for all of the families impacted by COVID-19. Parent information can be found here. Please DO NOT pay your remaining balance for this summer until we have further clarity on our summer programs.

Will you have enough staff?
Right now, we have a Tremendous Staff committed to working on our team this Summer. By God’s grace, most of our staff are all returning from 2019. We have already had multiple Zoom staff trainings and they are fired up and ready to see your kids this summer.

What options are you looking at for camp?
Like all events these days, things are up in the air. We are viewing our summer camp program through the framework of CPR . We may have to cancel, postpone or reimagine Camp Arrowwood. One way or another, we are working hard to make sure that your child gets to experience Arrowwood no matter the circumstances this summer. (We are creative camp people, we are already mapping out multiple plans)

What if camp is canceled? What about a refund?
Economic times right now are the worst we have seen in our lifetime and we have already heard from multiple camps who are telling us that they will likely go bankrupt if their summer program is canceled. We have heard from many of you who are hurting financially as well. If camp is canceled, we will be in touch with you about various refund options.
